This article provides information on the "Read-Only" version of Cerbo. This version significantly reduces access to the system and is typically used in situations when a life event results in a closure of the clinic.

What is Read-Only?

"Read-Only" is a highly restricted version of Cerbo that allows you to access your existing data, while removing the ability to add new data or interact with the system for the purpose of seeing patients. It is typically used in circumstances when a life event results in a temporary closure of the clinic, or for a brief period following a provider's retirement. The Read-Only version of Cerbo essentially puts your EHR in stasis until you are able to resume business. The Patient Portal is disabled while in Read-Only.


Due to the disparity of access between the standard and Read-Only versions of Cerbo, requests to transition in or out of Read-Only must be submitted via email to billing@cer.bo from the designated main contact at your clinic.


Things you can do in Read-Only:

  • Use your fax line
  • Export/fax patient data
  • Run financial & non-financial reports
  • View documents, encounter notes, and full patient history

Things you cannot do in Read-Only:

  • e-Prescribe
  • Add new users
  • Add patient data
  • Manage databases
  • Create encounter notes
  • Schedule appointments
  • Utilize the patient portal
  • Submit lab requisitions or receive lab results
  • Process payments of any kind (including automatic subscription payments)


Patient Portal:

Patients will not be able to access the portal while in Read-Only, however, under Pt Portal > Patient Portal Settings you can create a patient-facing message on the portal home page with any details you would like them to be aware of. You will continue to have access to your outbound fax line if a patient requests a copy of their records.


Timelines and billing details:

Once requested, your Cerbo will be transitioned to Read-Only effective on your next billing date. You will continue to have full access to your EHR in the interim. Your standard subscription fees will be paused, and a reduced fee will be applied.  If you have an integrated inbound fax line through Cerbo, the line will remain active and billing for that service will continue unless otherwise requested. 


Conversely, requests to restore your account back to full access will be processed within three (3) business days, regardless of your billing cycle date. Standard subscription fees will resume once acess is restored, and a prorated invoice will be issued for any days remaining in the current billing cycle.


Please note that your account can be in the Read-Only version of Cerbo for a maximum term of 6 months. If a request to return to full access has not been submitted by the end of the term, your Cerbo will be processed for termination.
