Overview:

This article goes over the pricing for Legacy clients (joined prior to 2022), Transitioning clients (joined during 2022), and New clients as of 2023.  It should be referenced when creating/editing invoices & subscriptions in Chargeover.

Details: 

Please pay close attention to product names when making adjustments to subscriptions.  The Legacy and Transitioning product names are obnoxiously similar to one another. Though the transitioning products have an asterisk at the end of the product name to help them stand out a bit. Please be diligent and don't rush edits. The majority of clinics will have the products listed under the 'Legacy' section of this article.  We will be adjusting all clinics who joined in 2022 to the Legacy pricing after they have been client's for 1 year.  The 2022 pricing should be completely phased out of Chargeover in early 2024.  The 2023 pricing is in all caps in CO, so that should help keep it separate.


For clarity, the reason we have to have so many different products is because bulk pricing updates are linked to the product name.  Having things separated as they are makes it so that we don't have to manually adjust each subscription when any pricing changes occur going forward.


ALL PRODUCTS ARE LISTED IN THE ORDER THEY SHOULD APPEAR IN THE SUBSCRIPTION! 

Please maintain the product order when editing subscriptions.  Consistency looks cleaner and reduces the margin for error when making subscription updates.


1. Legacy Clients - Joined Cerbo between 2015 - 2021 (Client DOB's after 12/21 are still Transitioning)

This refers to clients whose subscription billing began in 2015-2021.  


Things of Note:

  • "Primary Provider (Legacy)" is for clients who were grandfathered into the rates we had prior to the last price increase. You shouldn't ever have to add this.

  • "Waived Admin (per contract)" is to be used in situations where the quote in the client's contract states that we are waiving a certain quantity of admin users. This is to help make it easy for us to know that if the waived admin is deleted, we need to adjust their subscription so that another admin will be waived going forward. In the description, make a note about the quantity of waived admins they were quoted for.
  • 'Variable' Rate & "(Custom)" in the product name are for anycustomized rates that pertain to that type of product
    • Provider License (Custom)
    • Secondary/Supporting Provider (custom)
    • Admin/Nurse/MA (custom)
    • Integrated incoming fax (custom)
    • Patient Portal (Custom)
    • Server Holding (Custom)

2. Transitioning Clients - joined Cerbo in 2022 (With a handful from Dec. 2021 & Jan. 2023)


This refers to clients whose subscription billing began in 2022.  For anyone who was added to CO in Dec. 2022, make sure to check their dubs chart to confirm their pricing category.  We will be transitioning these clients to the Legacy pricing once they have been with Cerbo for one year.


Things of Note:
  • All of these products have an asterisk (*) at the end of the product name to help differentiate them from the Legacy products. Exceptions to this are "Comped Users", "Customization", and 'Waived Admin (per contract)'
     
  • I added "2022 Client" in the description for all of the products in this list to help make it easier to differentiate them from the Legacy products.  It will only show up if you're adding it for the first time, so still be cautious, but it should help at least a little.  For products that have default descriptions (like fax/portal) make sure to delete "2022 Client" before saving the subscription changes.
  • "Waived Admin (per contract)" is to be used in situations where the quote in the client's contract states that we are waiving a certain quantity of admin users. This is to help make it easy for us to know that if the waived admin is deleted, we need to adjust their subscription so that another admin will be waived going forward. In the description, make a note about the quantity of waived admins they were quoted for (always list the quoted number even if they have fewer admins than they are allotted).
  • You will notice that there are products for "Admin/Nurse/Medical Assistant" as well as "Admin", "Nurse", and "Medical Assistant".  This is due to a prior product update that was replaced by the pricing increase before completion.  If you are updating a subscription, please either use the combined product, or individual products, but not both.

3. New Clients - Joined Cerbo in 2023 (Some clients from Jan. 2023 are on old pricing.

This refers to clients who joined Cerbo in 2023 (with a handful that signed up in December 2022).  All of the products are in capital letters to help differentiate them from any other products.  If you need to add a product that is not in capital letters, please check in with Ajé so they can create a new product for you.

  • "DATA IMPORT" This is for 3rd party data imports. This fee needs to be paid up front, in full, before we can move forward with the import.

  • "CUSTOM PATIENT PORTAL STYLING" This is for a white label.  This fee needs to be paid up front, in full, before we can move forward with styling the portal.
